ConfluxB2B helps companies work with their vendors and customers on purchase orders, deliveries, invoices and shared work plans. This page explains what information we keep, why, who can see it, and what you can ask us to do with it.
1. What we collect
About people: name, work email, phone number (if given), and the company and role they belong to.
About companies: company name, address, GSTIN or PAN, and the details used to verify the company.
Business records you create: RFQs, quotations, purchase orders, dispatches, GRNs, invoices, payments, work plans, tasks, comments and the files you upload.
Usage information: sign-in times, actions taken in the app (for the activity history you see on each document) and basic technical logs used to keep the service secure and working.
2. Why we use it
To run the service for you: create and share documents, send the notifications and emails you’d expect (invitations, approvals, status changes), verify that a company is genuine, keep the service secure, and understand which features are used so we can improve them.
We do not sell your information, and we do not use your business records for advertising.
3. Who can see your information
Your company: people in your company see what their role allows. Your admins decide those roles.
Companies you work with: when you send a document to a vendor or customer (for example a PO or a shared work plan), that company sees that document and its updates. Nothing else about your company is shared with them.
Service providers we rely on: cloud hosting, email delivery, GST verification and product analytics providers process data only to provide those services to us.
We may disclose information when the law requires it.
4. Where it is stored and how it is protected
Your data is hosted in India (Mumbai). Access is protected by sign-in, roles and permissions, and connections to the service are encrypted.
5. How long we keep it
We keep your records while your company uses ConfluxB2B. If your company leaves, we delete or anonymise its data within a reasonable period, except where the law requires us to keep certain records longer. Documents you exchanged with another company may remain in that company’s records.
6. Your rights
You can ask to see the personal information we hold about you, correct it, or have it deleted, and you can withdraw consent where we rely on it. Company admins can also export their company’s data from the settings.
To make a request or raise a concern, email support@confluxb2b.com. We aim to respond within 30 days.
7. Changes to this policy
If we change how we handle information, we’ll update this page and tell active companies before the change takes effect.
